My Top 10 Automated AI Agent Use Cases
AI is powerful, broad, and pervasive.
Its applications are endless… but that’s the issue.
Its easy to get overwhelmed or use the most basic features.
When I wrote the AI Strategy Playbook in 2023, I aimed specifically at this blind spot. But as AI has evolved, gaining more power and more features, it’s still just as challenging for many.
I’m not going to write another book like that, but I will create regular lists of the use cases I’m seeing and using.
My Top 10 Automated/Agentic AI Use Cases
This first group of use cases all happen without my request. I set them up once, and now they just run, either on a schedule or in response to another action.
DAILY
- The Morning Brief. I get a text on my phone at 7am with an overview of my schedule and any urgent emails in my inbox. In Claude, it gives more detail, including critical industry news.
- Meeting Prep Agent (as needed). I get a text and a Slack message ahead of every scheduled meeting on my calendar. Based on the attendees and agenda, I get a brief summary of the meeting context and a little background research on the other attendee.
- Post-Meeting Intelligence (as needed). When a meeting ends, my notetaker passes the transcript to Claude, which runs a SKILL to extract intelligence five ways: (1) a summary and action items, (2) customer stories and quotes, (3) insights or lessons learned, (4) content seeds for future use, and (5) intellectual property (IP) ideas. The brief is formatted and saved in my Tana notes app.
- Content Spark Agent. I get a fresh list of content ideas worth sharing on social media, pulled from three sources: (1) specific X profiles I follow, (2) yesterday’s notes and journal entries in Tana, and (3) meeting transcripts from my Plaud notetaker. Once I review the list, I select one and manually trigger a separate agent to create the content.
- Email Triage Assistant (3x daily). Three times a day, my Claude routine triages my email, looking for urgent messages, messages I haven’t responded to, and sales or speaking opportunities. It labels and categorizes everything by topic, then creates a report of anything needing my attention.
- CRM Process Agent. I use a personal CRM, and I have an AI agent to help review tasks and follow-ups in it. It looks at all my daily meetings and recommends updates to add to each contact record.
WEEKLY
In addition to my daily agents, I have a few weekly routines that support me.
- Phoenix Speaking Opportunities (Mondays). This agent researches all live events in the coming months and suggests organizations to reach out to for speaking. Note: this could easily be expanded to networking events. I’d just need to give it a list of top recommendations.
- Weekly Email Retro Scorecard (Fridays). This agent checks its own work from the past week’s daily email triage, comparing what it flagged against what I actually replied to or acted on in Gmail, then scores itself and updates its own rules based on what held up.
- Weekly Industry News (Mondays). This agent runs my weekly intelligence briefing. It scans AI and automation news across my priority sources and topics, compiling them into a structured digest with content ideas, platform updates, lead and speaking signals, and flagged action items.
- Weekly Review (Fridays). This agent looks back over the past 7 days, pulling my calendar events, sent emails, and newly created Tana notes, then synthesizes them into a short status update (brief summary, key activities, notable meetings, next steps) and saves it as a tagged node under today’s date in Tana.

None of this happened at once.
Every one of those ten started as a single task I was tired of doing by hand.

- Integration. Connect your top tools to Claude or ChatGPT: Gmail, calendar, CRM, notetaker, whatever you already live in.
- Personalization. Think of 2 or 3 things you do every week. List out the steps, then turn that into an AI SKILL.
- Automation. Set the SKILL on a schedule so it runs daily or weekly without you asking.
